We will also discuss the characteristics of sustainable file formats that can be used by your organization to determine the correct file format to use to preserve your electronic documents.

Court Admin/Clerk to Board/Vitals & Passports: Archiving Audio/Video Files - Moderator: Jack Arrowsmith, Clerk & Recorder, Douglas County, Colo. - In the past clerks/recorders have been responsible for preserving written documents.  Now more and more meetings are being recorded through audio and video files.   Preserving this data poses new problems.  This session will start with a brief overview of the problems we are experiencing in Douglas County, Colo.  Items will include changing technology and questions about which represents the official representation of meeting. Participants will be encouraged to share problems and solutions they are experiencing in this area.  Possible outcomes might include the decision to move forward with a “Best Practices” as it relates to preserving and retaining audio and video files.

Elections: The Federal Voting Assistance Program and MOVE Act Implementation - Bob Carey, Director, Federal Voting Assistance Program - The Military and Overseas Voter Empowerment Act (MOVE Act) significantly changes both State and federal responsibilities in supporting military and overseas voting under the Uniformed and Overseas Citizen Absentee Voting Act (UOCAVA).  To help States and local election officials (LEOs) meet those requirements, the Federal Voting Assistance Program (FVAP) is undertaking a series of robust education and technical development initiatives to advise States and LEOs as to their responsibilities, and what assistance is available from FVAP.

Find out if other recorders have similar problems to yours and what they are doing to solve them.

Court Admin/Clerk to Board/Vitals & Passports: Passports Roundtable - Moderator: Marilyn Gillette, Clerk, Tooele County, Utah - This roundtable discussion will focus on issues that passport agents face: the good, the bad and sometimes the ugly. What are the concerns or issues with handling and processing the passport applications? Are we getting the most from training? Come prepared to share tricks you've found that work on confirming identification, the return receipt dilemma, lost passport problems, etc.
